1. Scope of This Policy

This Privacy Policy applies to the TenderAI service, which is delivered through two distinct surfaces: (a) the TenderAI web platform at https://www.tenderai.ai (the "Web Platform"), where users upload tender documents and AI-powered analysis is performed; and (b) the TenderAI mobile applications, including the TenderAI iOS app (the "iOS App"), which is a read-only viewer for analysis results that were previously generated on the Web Platform. The data practices for each surface are described separately below to avoid any confusion.

2. Data We Collect (Web Platform)

Through the Web Platform we collect: (i) account information (name, email address, company, password hash); (ii) tender content that you upload or paste for analysis (PDF / DOCX / DOC / TXT documents, or pasted text); (iii) usage data such as feature usage, analysis logs, and credit transactions; and (iv) standard server-side technical data such as IP address and timestamps for security and abuse prevention.

3. How We Use Your Data (Web Platform)

Data is used exclusively to deliver the service: account management, AI-powered tender analysis, generation of compliance and risk reports, exporting results, credit tracking, and customer support. We do not sell your data, and we do not use your data for advertising or cross-context behavioural tracking.

4. Third-Party AI Service (Web Platform Only)

To generate analysis results, the Web Platform transmits the tender document content that you submit (the extracted text of uploaded documents, or text you paste) to OpenAI, L.L.C. (https://openai.com) via the OpenAI API. Only the document/tender content required to produce the analysis is sent. We do not transmit your account credentials, email address, payment information, device identifiers, or browsing data to OpenAI. Per OpenAI's API data-usage policy (https://openai.com/policies/), data submitted via the API is not used to train OpenAI's models and is handled under OpenAI's enterprise privacy and security commitments, which provide protections equivalent to those described in this policy. This third-party transmission occurs ONLY when you initiate an analysis on the Web Platform; it does not occur from the iOS App.

5. TenderAI iOS App (Read-Only Viewer)

The TenderAI iOS App is a READ-ONLY viewer for analysis reports that were previously generated on the Web Platform. The iOS App does NOT contain any document upload, text input, or AI analysis feature. The iOS App does NOT transmit any user data to any third-party AI service, including OpenAI. The iOS App communicates only with our own backend (https://www.tenderai.ai) over an authenticated HTTPS connection, solely for the purpose of (a) signing the user in, (b) fetching the list of analyses previously generated for that user's account on the Web Platform, and (c) displaying those analyses, including viewing and exporting them as PDF. No advertising SDKs, no third-party analytics SDKs, and no tracking technologies are integrated into the iOS App. No personal data from the iOS App is shared with any third party.

6. Data Retention

Tender documents and analysis results are retained according to your account settings. You may request deletion of your account and associated data at any time through your account settings on the Web Platform or by contacting us at privacy@tenderai.com.

7. Security

We use encryption in transit (TLS) for all communications between the iOS App, the Web Platform, and our backend, and encryption at rest for stored data. We apply role-based access controls and audit logging to protect your data against unauthorised access.

8. Your Rights

You have the right to access, correct, export, or delete your personal data. To exercise these rights, contact us at privacy@tenderai.com. We respond to verified requests within the timeframes required by applicable law (including GDPR and CCPA where applicable).
